Office Administrator
Ward Asset Management is a family-owned property management and development company based in Central New York. We manage a diverse portfolio of commercial properties and operate SkanWorks, a coworking facility in Skaneateles. Across all of our businesses, we believe in shared services, simplicity, integrity, and creating environments where people and businesses thrive.
We are seeking a proactive and detail-oriented Office Administrator to join our team. This individual will play a key role in supporting the leasing, marketing, construction, and property maintenance functions across our entire portfolio. As the connective tissue of our operations, this role requires someone who is highly organized, tech-savvy, flexible, and invested in helping our properties—and the people who use them—succeed.
What You’ll Do
Administrative Support
- Coordinate calendars, schedule meetings, and support day-to-day office operations
- Prepare lease agreements, correspondence, and marketing collateral
- Maintain and organize company records, lease files, permits, and vendor contracts
- Track expenses, process invoices, and support basic bookkeeping tasks
Leasing & Marketing
- Respond to leasing inquiries and coordinate tours across multiple properties
- Maintain listings across websites and marketing platforms
- Help track lease renewals, expirations, and vacancies
- Support creation of email newsletters, social media posts, and branded materials
Construction & Property Maintenance
- Assist in organizing service requests, work orders, and vendor scheduling
- Track building maintenance logs and project timelines
- Maintain inventory of materials and supplies
- Communicate with contractors and vendors regarding job scopes and timing
Coworking & SkanWorks Oversight
- Ensure the SkanWorks space is welcoming, stocked, and operational (snacks, supplies, WiFi, printers)
- Provide occasional onsite support for member onboarding, mail handling, and events
- Handle basic tech troubleshooting (e.g., door access, conference room displays)
- Act as a liaison for remote support when needed

Career Requirements
- Experience – Office administration, real estate, or operations (preferred)
- Technical Skills -Proficiency in Microsoft Office (especially Excel, Outlook, Word, and HubSpot)
- Familiarity with project management or property management tools is a plus
Practical Requirements
- Valid NY State driver’s license and reliable transportation
- Ability to occasionally lift 25 lbs and move around job sites if needed
Education
- High school diploma required; Associate or Bachelor’s degree preferred
- As the Office Administrator, you’ll be the backbone of our operations, ensuring everything runs smoothly across our properties. Your attention to detail and ability to juggle multiple responsibilities will be key to success in this role.
Compensation & Benefits
- Salary: 55k – 70k Based on experience and qualifications
- Performance Bonus: 5-10% Offered twice yearly based on performance metrics
